Administrative Assistant

MISSION

The Administrative Assistant enhances the effectiveness of the team by providing information management support. Additionally, the Administrative Assistant will quickly and accurately create and process sales quotes. The Administrative Assistant is responsible for providing high-level service to our clients, prospects and internal team members, most importantly, striving to live up to Aldridge’s promise of IT Resolution. ACCOUNTABILITIES

To be considered successful in this role, the Administrative Assistant must achieve these accountabilities within the first three months of accepting this position and maintain them throughout his/her employment:

  • Provide administrative support to the office
  • Create all requests for quotes
  • Process accepted quotes

GENERAL RESPONSIBILITIES

  • Answer incoming business calls and take appropriate messages
  • Serve as the gatekeeper for incoming calls, allowing all necessary calls through and stopping unwanted solicitations
  • Prequalify all incoming prospect calls
  • Welcome guests and clients by greeting them, in person or on the telephone, and answering or directing inquiries
  • Keep office and meeting space clean and neat, including break room
  • Perform the receiving process on products as they arrive from manufacturers and vendors
  • Create and process quotes for clients and prospects
  • Create Sales Orders and Projects from accepted quotes
  • Utilize Professional Services Automation (PSA) system to record products received
  • Arrange for proper disposal of retired equipment
  • Be responsible for employee business travel arrangements
  • Serve as a backup to other Administrative Assistants
  • Dispatch and/or be responsible for tickets on the assigned service boards
  • Work closely with clients and across internal departments to successfully investigate support concerns and provide functional escalation to ensure an accurate and efficient handling of incident management
  • Document internal processes and procedures related to duties and responsibilities
  • Enter all work as activities or service tickets in the PSA
  • Enter expense reports for executives
  • Act as point of contact for all non-technical office operations
  • Act as a liaison between building management and Aldridge
  • Maintain executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences
  • Maintain client confidence and protect operations by keeping information confidential
